Participant Information
The event will be held at the Youth Hostel Wiesbaden, Germany. It will start on Friday 10th of January 2025 at 14:00 (lunch before is NOT included) and end on Sunday, 12th of January at 19:00 with a closing ceremony. After that the optional, but highly recommended afterparty will happen with the possibility to stay until Monday 13th of January 2025 11:00.
All tickets include accommodation in rooms with up to 4, full board from Friday dinner to Sunday lunch (Sunday dinner and Monday breakfast with the optional sleeping over option) and participation in all workshops, program items and parties.

Ticket prices
There are different room types and ticket levels available:
- Standard room (max. 4 bedroom): 200€
- Double room (2 bedroom): 240€
- Single room (1 bedroom): 280€
- Supported tickets: -50 € (150€ in a standard room)
- Sponsor tickets: +50€ (250€ in a standard room)
All prices include the whole conference with attending all workshops, full board from Friday dinner to lunch on Sunday and a room with a bath ensuite.

There are optional pre and after nights possible. The pre night includes breakfast on Friday and the after night includes dinner on Sunday and breakfast on Monday.
For the additional nights the same room types will be available. If you want to stay an extra night, it’s 60€ per night in a standard room, 70€ per night in a double room and 80€ per night in a single room. Additional nights can also be added later, but only until 3 months prior to the event we can guarantee that they are available. After that point we will try to book them for you but we will have to check with the Jugendherberge if they still have beds available.
As we are a small event, unfortunately we can only offer a refund up until 3 months prior to the event. After that, we cannot offer a refund of the participation fee in the event of a cancellation of a participant unless we have a substitute participant. If a participant cannot attend the event, it is primarily the participants responsibility to find a substitute for their place and sell the ticket. But if you let us know that you have to sell your ticket, we will inform you in case we have a new participant registering (and then be able to give you a refund).
Price breakdown
- Most of the cost comes from renting the rooms in the Youth Hostel, including the rooms to sleep in, as well as meeting rooms (around ¾ of the ticket price).
- For convenience we opted for a full board, which makes up for another part of the fee.
- The rest of the price is renting equipment, insurances, fees for internet pages etc. We are not earning any money for ourselves with the conference.
To be able to be reachable for everyone we decided on purpose for a location accessible with public transport in a major city in the middle of Germany, even though that might have increased the cost slightly in comparison to more remote locations.
Values and Mindset
Why are we doing this?
For decades, the classic approach to larp in German speaking countries has mostly been through fantasy larp and still mostly is today. However, fantasy larp is just one of the approaches to role-playing. As diverse as people are, as diverse is the approach to the game and playing itself.
It is important to us to embrace this diversity and to highlight the diversity of larp and role-playing together with the community.
We are convinced: People like to play.
Playing is diverse. Everyone finds their own personal approach to the game.
Everyone has individual experiences that can be shared and that broadens their horizon.
Playing allows us to change our perspectives and take on different, unfamiliar roles. Slipping into a different role means having different experiences of our own and being able to better understand or comprehend other perspectives on the same situation. Our own lifes can become more diverse as a result.
This is also the reason why we use the seemingly wrong article “der” in German before the name “Larp Conference”.
We are concerned with:
- diversity
- experience
- roleplay
Probably all larpers and new organisers were once at a point where we recognized organising a larp is not as simple as it sounds. There are a lot of people with ideas and motivation, but having the right set of tools helps immensely to really be able to implement them. We want more larps to happen and therefore decided on the theme of the conference: “How to organise a larp”. We want to create a platform where new and old larpers and beginning and experienced organisers meet and share their ideas and tools on how to create larps in all their diversity. Because there are never enough larps to play.
der Larp Conference is a participatory event and thrives on the contributions of the community. We are convinced: An event can only be as good as its participants! The success and impact lies in the community and the joint creation!
To this end, we want to provide the framework to offer the space for exchange, connection, discussion, emotions and much more.
But we create it together – with all the diverse people and their experiences that they have made and are making in and around role play!
Why no German-language conference?
The answer is as short as it is simple: it already existed. And there is an association that is responsible for this conference which consists of different people. We were happy to attend Mittelpunkt and will be happy to attend again. But our focus is conceptually elsewhere and would certainly not fulfil the expectations of a „2.0 event“.
In addition, there is enough space in the scene that it can easily accommodate two or three different conferences in Germany.
We do not want to limit ourselves to the German-speaking world and open up the conference internationally. In principle, play is boundless, universal and not limited to national borders. There are larps all over the world, and we ourselves also take part in international larps and have made many friends through them who enrich our perspectives and therefore our lives. We can only gain more insight with people from different countries talking about their style of larp and their experiences.
We are aware that this unfortunately also creates an inhibition threshold for participation, but we would like to encourage people who do not think they can speak English very well to take part anyway. We also travelled to our first international Larps and had these inhibitions, but they turned out to be unfounded.
Code of Conduct
- We want to build and maintain a community where people from all areas, backgrounds, cultures, ages and interests come together.
- We have a zero tolerance policy about harassment, bullying and discrimination, including but not limited to sexual harassment, violence, sexism, racism, homophobia, transphobia or ableism.
- If you see someone doing inappropriate behaviour, talk to them or our safety team.
- Please speak English in public spaces and welcome others to join in the conversations by filling them in on the topic or introducing each other.
- Please keep an empty chair at your table or a space in your circle to signal others are welcome to join.
- Please try to assume a misunderstanding rather than maliciousness from the other party in case of communication mistakes. We are a diverse group from different backgrounds and miscommunication can happen.
- Please try to resolve the problem and please accept and respect it when someone asks you to change your behaviour or to back off, even if you don’t understand why. Please at all times be aware of and respect each other’s boundaries.
